Perfect Tower From dues to maintenance, keep daily work in one place

Who is this guide for?

For the building manager who has received a sum of money from a resident and wants to register it as payment for his charges.

An important idea

In the system, the invoice itself is the payment record. To record what the resident has paid, an income invoice of the type Payment from Resident is created, with which the system pays his charges in whole or in part. (To register a payment for one charge directly, see the explanation of “Registering a Payment for a Resident.”)

Steps

  1. From Finance ← Invoices click Add Invoice.
  2. Select Income then Payment from Resident.
  3. Enter Amount (example 250) and choose Fund and Payment Method.
  4. Select occupant (owner or tenant); Shows Total Open Receivables.
  5. In What is the payment recorded for? Select:
    • Pay the oldest first automatically: Example: electricity 100, water 200, payment 250 ← electricity is paid in full and 150 water (partial payment).
    • Specific charge: Then choose the charge.
    • Advance or general payment without attachment.
  6. Enable Includes charges in other funds if you want the payment to cover charges in other funds.
  7. If more is paid than required, there is a surplus appears; Activate Add the surplus to the resident’s wallet so that it is deducted from his upcoming charges, otherwise it remains income to the fund.
  8. Review Transaction Summary then Save Invoice.

Result

The resident's remainder is reduced and their charge status changes to Paid or Partially Paid. In the invoice details, you will see the Charges tab that you have paid.

Important notes

  • There is no separate button to add a subsequent payment to an existing invoice; Every new payment is a new invoice.
