Who is this guide for?
To the building manager to whom a check has already been cashed and wants to convert it into a financial payment in the fund or to the resident’s charge.
Before you begin
- The status of the check must be Received (or Cashed for an issued check).
- The incoming check must be associated with a resident charge or have a fund, and the outgoing check must have a fund.
- A check delivered to another party does not record its payment until you retrieve it.
Steps
- Open Finance then Checks.
- If the check is Pending or Deposit, click Received in its row and confirm.
- The Record payment button appears in the row; Press it.
- A message appears: “Confirm registration of payment for this check? This action is final and cannot be undone.” Click Confirm.
Result
- An incoming check linked to a static charge: A payment on the charge is recorded by the “check” payment method, in the same fund for that charge, regardless of the fund chosen in the check.
- An incoming check not linked to an charge: income is recorded in the selected fund entitled “Receipt of Check No....”
- Issued check: A disbursement from the fund is recorded under the title “Disbursement of check number...”, even if the fund balance becomes negative.
The Recorded Payment badge appears in the row, and the check is locked from modification, deletion, and status change.
Important notes
- If the message “It is not linked to a resident charge or to a fund” appears, modify the check and choose one of them and try again.
- Check the amount before confirming, as it is not possible to withdraw from the checks screen.
